Crown Isle Dental is an independently owned dental practice in Courtenay, BC. Here is what we collect, why, and how to reach us about it.

The short version: we collect only what we need to care for you and answer your questions. This website runs no advertising trackers and no analytics. We have never sold or rented personal information, and we never will.
What we collect and why
- When you use a form
- Your name and contact details, plus whatever you write. We use it to reply, to book appointments, to consider job applications, or to record that you have read our practice policies.
- When we treat you
- Your medical and dental history, clinical notes, images, and billing and insurance details. We need these to provide care and keep proper records.
- Automatically
- Our host keeps standard server records, including your IP address and which pages you opened, to keep the site running and secure. If you switch between light and dark mode, that setting is saved in your own browser and never reaches us.
Who we share it with
Your insurer, when you ask us to direct bill. Other health professionals, if you are referred to or from us. The companies that host our site and deliver our email and text notifications, some of which process data outside Canada. The map on our contact page is loaded from Google, so Google can see that your browser opened it. And where the law, a court, or our regulator requires it.
How long we keep it, and how we protect it
Clinical records are kept for at least as long as the BC College of Oral Health Professionals requires. Enquiries and form submissions are kept only as long as we need them. Records are password protected or physically secured, with access limited to staff who need it, and the site is served over an encrypted connection.
Your rights
Under BC's Personal Information Protection Act you can ask to see the information we hold about you, ask us to correct it, or withdraw your consent, though that may limit the care we can provide. Just ask us and we will respond within 30 days. We may confirm your identity first, so nobody else can request your records. If you are unhappy with our response, you can contact the Office of the Information and Privacy Commissioner for BC.

If we update this policy we will change the date at the top. Please avoid sending detailed health information through the website. For anything sensitive or urgent, call us at 250-338-2599.
